Teams background not working? Here is why

If a custom background will not apply in Microsoft Teams, the cause is almost always one of five things: you are using Teams in a browser instead of the desktop app, an admin policy has disabled custom backgrounds, your device is too low-powered and Teams has hidden the effects, the meeting host has turned effects off, or the image is not a JPG or PNG.

1. You are on Teams in a browser

This is the most common cause by a distance. Teams in a browser offers blur and the stock image set, but uploading your own background needs the desktop app. If there is no Add new button at all, check which one you are in before anything else.

2. An admin policy has disabled it

On a work account, your IT team can turn custom backgrounds off for everyone, and many do — either to control bandwidth or to keep a consistent look on client calls. The signature is an Add new button that is visible but greyed out, while blur and the stock backgrounds still work fine.

There is no workaround at your end, and that is deliberate rather than a fault. If you need it, it is a request to your IT team, not a setting to find.

3. Your device has been judged too slow

Background replacement is the most demanding effect Teams offers. On lower-powered machines Teams sometimes hides the effects entirely, or disables them part way through a call and tells you it has. Closing other applications occasionally brings the option back.

4. The meeting host disabled effects

Hosts can switch off video effects for a meeting. The tell is that your background works everywhere else and silently reverts when you join one particular meeting.

5. The file is the wrong kind

Teams takes JPG and PNG still images. It does not take video, animated GIF, HEIC, or anything else, whatever a site may claim. If a specific file refuses to upload while others work, convert it to JPG.

It applied, but it looks wrong

A different problem with a different fix. Blurry means the source image is smaller than 1920 x 1080 and is being stretched. A flickering outline means the software cannot tell where you end — light your face from the front and pick a background with calmer space at head height. Text reading backwards to you is just your own self-view mirroring; everyone else sees it correctly.

Why is Add new greyed out in Teams?

Your organisation has disabled custom backgrounds by policy. Blur and the stock images usually keep working, which is how you can tell it apart from a technical fault.

Why did my Teams background disappear mid-call?

Either the host disabled video effects for that meeting, or Teams turned effects off because your device was struggling. The second case normally shows a notice.

Do custom Teams backgrounds sync between my computers?

No. Teams stores uploaded backgrounds per device, not against your account, so you have to upload them again on a new machine.

Why will my image not upload as a Teams background?

Teams accepts JPG and PNG only. Video files, animated GIFs and HEIC photos from an iPhone will all be refused — convert to JPG first.
